*Specifically applies to: 8-Day Garden Route Safari & Wellness Retreat
1. Overview
These Terms & Conditions apply to all bookings for the 8-Day Garden Route Safari & Wellness Retreat (“the Retreat”). By confirming your booking, you acknowledge that you have read, understood, and agree to these terms.
2. Booking Confirmation & Payment Terms
- A 50% non-refundable deposit is required to secure your booking.
- The deposit must be paid within 72 hours of booking confirmation, otherwise the reservation may be released.
- The remaining balance is due no later than 42 days prior to departure (19 November 2026).
- Failure to pay the balance by the due date may result in cancellation of the booking and forfeiture of the deposit.
3. Cancellation Policy (Guest-Initiated Cancellations)
All cancellation requests must be submitted in writing.
3.1 Cancellation 90 days or more before departure
- Deposit is refundable, less any administrative or bank fees.
3.2 Cancellation between 89 and 42 days before departure
- 25% of the total trip cost will be forfeited (including part of the deposit).
3.3 Cancellation 41 days or less before departure
- 100% of the total trip cost is non-refundable.
4. No-Show Policy
Failure to join the Retreat on the scheduled departure date will be treated as a cancellation within 41 days, and no refunds will be issued.
5. Travel Insurance
Comprehensive travel insurance is strongly recommended for all participants.
Insurance should cover, at minimum:
- Trip cancellation or interruption
- Medical expenses and emergency evacuation
- Personal liability
- Loss or damage of personal belongings
It is the responsibility of each guest to ensure adequate coverage is in place prior to travel.
6. Changes to Itinerary
We reserve the right to make reasonable changes to the itinerary where required due to operational, safety, weather, or supplier-related circumstances.
In such cases:
- Alternative arrangements of similar standard will be provided where possible
- The overall quality and intent of the Retreat will be maintained
7. Third-Party Services & Suppliers
The Retreat includes services provided by third-party suppliers (including accommodation providers, venues, transport operators, and activity providers).
Each supplier may apply their own terms and conditions, which will be communicated where relevant. We are not liable for actions or omissions of third-party providers.
8. Health, Fitness & Participation
- Participants confirm they are in suitable physical and mental condition to take part in the Retreat.
- Certain activities (including yoga, hiking, wildlife excursions, and wellness practices) are undertaken at the participant’s own discretion and risk.
- It is the participant’s responsibility to inform the organisers of any medical conditions that may affect participation.
9. Conduct & Group Experience
This Retreat is designed as a small-group, shared experience centred on respect, presence, and connection.
We reserve the right to remove any participant whose behaviour:
- Disrupts the wellbeing of the group
- Compromises safety
- Is deemed inappropriate or harmful
In such cases, no refund will be issued.
10. Force Majeure
We shall not be held liable for any failure or delay in performance due to events beyond our reasonable control. This includes, but is not limited to:
- Natural disasters
- Extreme weather events
- Pandemics or public health emergencies
- Political unrest
- Transport disruptions or border closures
In such circumstances, we will make reasonable efforts to reschedule or offer alternative solutions where possible.
11. Acceptance of Terms
By completing a booking for the Retreat, you confirm that you:
- Have read and understood these Terms & Conditions
- Agree to be bound by them
- Accept responsibility for ensuring your own travel insurance and preparedness
